Artificial Intelligence (AI) Use Policy

Jurnal Perkotaan recognizes that artificial intelligence (AI) and AI-assisted technologies are increasingly used in research, scholarly writing, data analysis, and academic publishing. These technologies may support research and communication when used responsibly; however, they also raise important concerns regarding accuracy, transparency, authorship, accountability, confidentiality, intellectual property, research integrity, bias, and reproducibility.

This policy establishes the principles governing the use of artificial intelligence and AI-assisted technologies by:

• authors;
• reviewers;
• editors and Editorial Board members; and
• the journal and its editorial office.

The policy applies to generative AI systems, large language models (LLMs), AI chatbots, AI-based image generators, AI-assisted analytical tools, and other technologies capable of generating, modifying, interpreting, or substantially transforming scholarly content. Examples include, but are not limited to, generative text systems, AI-assisted coding or statistical tools, image-generation systems, machine-translation systems incorporating generative AI, and AI systems used for literature synthesis, data processing, transcription, or content generation. The fundamental principles of this policy are human accountability, transparency, confidentiality, accuracy, research integrity, and appropriate attribution.

Use of AI by Authors

AI Cannot Be an Author

Artificial intelligence systems, chatbots, large language models, or other AI tools cannot be listed as authors or co-authors of articles published in Jurnal Perkotaan.

Authorship requires intellectual responsibility, accountability for the integrity of the work, approval of the final manuscript, disclosure of conflicts of interest, and the ability to respond to questions concerning the work. AI systems cannot fulfill these responsibilities.

AI tools must therefore not:

• appear in the author byline;
• be listed as corresponding authors;
• be attributed an institutional affiliation;
• be included as authors in references; or
• be assigned authorship contribution roles.

Responsibility for all content produced with AI assistance remains with the human authors.

Permitted Uses of AI

Jurnal Perkotaan does not prohibit the responsible use of AI-assisted technologies.

AI may be used to support scholarly work for legitimate purposes, provided that its use complies with this policy and is appropriately disclosed when required.

Examples of potentially acceptable uses include:

• improving grammar, spelling, readability, or language clarity;
• assisting authors for whom the manuscript language is not their primary language;
• brainstorming organizational structures or presentation approaches;
• assisting with computer programming or code debugging;
• supporting qualitative or quantitative data processing when methodologically appropriate;
• transcription or translation;
• supporting literature-search strategies;
• assisting with data visualization;
• performing AI-based classification or analytical procedures;
• generating or refining research instruments where scientifically justified; and
• other research applications in which AI itself forms part of the methodology.

Such use is acceptable only when human authors critically evaluate and verify the resulting material.

Disclosure of AI Use

Authors must be transparent regarding substantive use of generative AI or AI-assisted technologies in preparing or conducting work submitted to Jurnal Perkotaan.

Disclosure should identify, as appropriate:

• the name of the AI tool or system;
• the version or model, when known;
• the developer or provider;
• the purpose for which the AI was used;
• the stage of the research or manuscript preparation in which it was used; and
• the extent to which AI-generated output contributed to the submitted work.

The level and location of disclosure should correspond to the nature of AI use.

When generative AI has materially assisted manuscript writing, rewriting, summarization, translation, or language improvement, authors should disclose its use in the Acknowledgments or other disclosure section specified by the journal.

An appropriate declaration may take the following form:

“During the preparation of this manuscript, the authors used [name and version of AI tool] for [purpose, e.g., language editing and improvement of readability]. The authors reviewed and edited all AI-assisted output and take full responsibility for the content of the manuscript.”

Routine use of conventional spelling checkers, reference-management software, formatting software, calculators, or other non-generative tools that do not substantially generate or alter scholarly content does not normally require disclosure.

Authors remain fully responsible for every part of a manuscript submitted to Jurnal Perkotaan, including content developed with AI assistance.

Authors must independently verify:

• factual statements;
• numerical information;
• statistical results;
• quotations;
• interpretations;
• references;
• DOIs and bibliographic information;
• legal or policy information;
• translations;
• computer code; and
• other AI-generated material.

Authors must not assume that AI-generated citations or references correspond to genuine publications.

Fabricated, nonexistent, materially inaccurate, or misleading references generated through AI are the responsibility of the authors and may constitute grounds for editorial action.

Use of AI by Peer Reviewers

Manuscripts submitted to Jurnal Perkotaan are confidential scholarly communications.

Reviewers must protect the confidentiality of manuscripts, supplementary materials, unpublished data, figures, author responses, and editorial correspondence.

Reviewers must not upload a manuscript, substantial portions of a manuscript, unpublished figures or data, or confidential editorial information into publicly accessible or third-party generative AI systems when confidentiality and data protection cannot be assured.

This restriction applies even when AI is used solely to summarize, translate, analyze, or draft a review.

Reviewers may use AI-assisted technologies only when such use:

• complies with Jurnal Perkotaan policy;
• preserves manuscript confidentiality;
• complies with applicable data-protection requirements;
• does not expose unpublished intellectual property;
• does not replace the reviewer's independent scholarly judgment; and
• is disclosed to the Editor when required.

A reviewer remains personally responsible for the accuracy, integrity, fairness, and scholarly quality of the review. AI-generated reviewer comments must not be submitted without independent critical evaluation by the reviewer. AI systems cannot serve as peer reviewers and cannot be assigned responsibility for editorial recommendations.

Use of AI by Editors and Editorial Board Members

Editors are subject to the same confidentiality principles as peer reviewers.

Editors and Editorial Board members must not upload confidential manuscripts, reviewer reports, author correspondence, or unpublished research data to external AI systems when confidentiality cannot be assured.

AI may support certain administrative or editorial activities, such as:

• language assistance;
• similarity screening;
• manuscript classification;
• reviewer-search assistance;
• administrative correspondence;
• metadata processing; or
• other editorial-support activities.

However, AI must not independently determine whether a manuscript is accepted or rejected.

Final editorial decisions must be made by qualified human editors.

Editors remain responsible for verifying any AI-assisted assessment and ensuring that editorial decisions are based on appropriate scholarly, ethical, and editorial considerations.
